Insurance

USA Rugby offers its members two forms of insurance: liability insurance and accident insurance.  These insurance policies are aimed at providing USA Rugby members with peace of mind and protection. Below is a summary of the liability and accident insurance policies automatically provided to USA Rugby members.

In order to receive insurance coverages:

  • The club must be in good standing;

  • All members of a team or club must be registered with USA Rugby;

  • The club must have 1+ registered Admin-Volunteer (background check and SafeSport), and;

  • The coach must be registered and current with certifications (L1+ certification, background check and SafeSport).

LIABILITY INSURANCE

  • Covers accident and bodily injury to third parties

  • Reduces liability for registered members

  • Enables members to use venues and facilities that require third party liability insurance coverage

ACCIDENT INSURANCE

  • Covers rugby-related accidents for registered members at sanctioned events where all members of the team are registered, the coach is registered and current with certifications, background check and SafeSport certification completed, and the team is compliant and listed as 'current' within the USA Rugby registration platform. A tournament must be sanctioned by USA Rugby in order for an individual to utilize their accident coverage.

  • Must be a registered member prior to time of injury

  • This is secondary coverage, but will serve as primary coverage in the absence of other medical coverage.

CERTIFICATE OF INSURANCE 

Effective March 2026, your entity or club can request a standard COI directly in RX:

  • From left hand menu in the Admin portal, go to Administration > My [Entity] Details.

  • Click the ‘Insurance’ tab.

  • Complete the form.

 

Your COI will generate immediately, be emailed automatically to the address provided, and also be available for instant download from an on-screen link.  COIs must NOT be generated via RX for activities that are not sanctioned by default (e.g. most tournaments). For further information, see below regarding Tournaments & Sanctioning.

 

WHO IS ELIGIBLE?

To access this feature, a club must be compliant. You can check your club’s Compliance status in the ‘Compliance’ tab. Compliance requires:

  • Annual Club fees fully paid (and no overdue Club Pays invoices)

  • At least one compliant registered coach (Certifications, SafeSport, Background check)

  • Minimum of 8 registered members

  • At least one compliant registered admin-volunteer (SafeSport, Background check)

 

Additionally, both clubs and parent entities must have their address listed under My [Entity] Details.

 

AUDIT TRAIL & COMPLIANCE

Every COI request creates an on-screen audit trail. NOTE: Please do not request a COI on behalf of another entity, as this will invalidate the COI and could be considered a breach of the USA Rugby Code of Conduct.

SPECIAL WORDING REQUESTS

Some COIs require special wording – usually for specific endorsements required to be on the certificate. These requests will now be submitted via the same RX form.  Unlike standard COIs, special wording COIs must be processed manually by our insurer – therefore, for these, our turnaround time remains 7 days and there is no expedited process. Please ensure special wording is truly required before submitting.

 

COI EXPIRY DATES

We’ve finished the process of moving our insurance renewal date from August 31 to December 31. This means COIs for those participating in Fall competitions can now be obtained anytime during the calendar year rather than having to wait until mid-August.  Access for competitions playing in or after January 2027 will begin mid-December 2026, pending insurer confirmation.

TOURNAMENTS AND SANCTIONING

COIs must not be generated via RX for events or tournaments that are not sanctioned by default. For these, COIs must be requested through the Event Sanctioning process.  The following activities are considered sanctioned by default:

  • Practices of compliant clubs where all players participating are registered;

  • League play, friendly matches, or other activity (including events and tournaments) of compliant clubs arranged by a Union (Council, Geographic Union, Division, Conference, SYRO, College Org, or similar body) where the only clubs taking part belong to that Union;

  • One-off friendly matches between compliant clubs regardless of Union, or between a compliant club and a visiting international team approved for inbound tour by both USA Rugby and their home Union.
