REFEREE ASSIGNMENTS IN RX

Effective fall 2026, referees will be included in RX after being assigned by SERRS.  The purpose of the process change is to achieve certain objectives: 

  1. Ensure all matches (matrix/friendly/playoff) are sanctioned, by centralizing the schedule communication to SERRS.

  2. Streamline the referee notification process by replacing the team task with the centralized automated notifications with enhanced details.

  3. Replace the red card report process with the send-off report, utilizing existing RX data.  Combine with the Comp Case to develop a prepared document for the Disciplinary Committee.  

  4. Ensure all assigned referees are fully compliant prior to each match.

  5. Begin the set-up process for financial and feedback mechanisms in the future.

 

Appointment Board 
In RX under the Southeast Referees Club, there will be the creation of the Carolinas Senior Club Appointment Board, managed by the Appointment Board Admin (“AB Admin”).  Any referee registered to the club can be added to the appointment board.  It also ensures each referee is fully certified and meets all requirements.  A referee cannot be appointed to a match unless he/she is registered, has the L1+ referee cert, Safesport, and the Background check.

 

Assignments and Communication
The Carolinas will communicate the schedule to SERRS, replacing the team responsibility.  It will include all divisions and friendlies. This will eliminate issues with teams not communicating, teams with conflicting info, separate formats, and unsanctioned matches.  We already have all of the comprehensive match data in RX so having the teams communicate this separately is highly inefficient.  Once the schedules have been imported into RX, a Master Schedule (also shared on cgru.rugby/fixtures) will be updated using RX data downloads on a weekly basis. This data file will be used by SERRS to build their google assignment sheet.

SERRS will be required to make an assignment for any CGRU match by Tuesday 5pm.  The AB Admin will find the assignment and will add it to the match in RX by Tuesday.  This will notify the referee via email prior to the Wednesday deadline.  The referee’s history of assignments will be in his/her RX profile.  The referee will confirm the appointment in RX or via the link in the email.

Any changes to the referee schedule after Tuesday 5pm must be communicated to the AB Admin so that RX can be updated, and referees can be notified.

Referee Responsibilities
All referees:

  1. Must be registered to SERRS, and must be compliant (Background Check, SafeSport, L1+ World Rugby Referee).  

  2. Will be notified of a match assignment via his/her RX email.  Ensure noreply@rugbyxplorer.com.au is not going to junk.

  3. Must confirm the assignment using the confirmation link in the email.  It is highly recommended to use a Mac/PC browser, not a mobile device. 

  4. Must submit a send-off report for any red card by Sunday 5pm.  Access to the report is in the RX portal.

 

RX for Referees

Once a referee has logged in to his/her profile, one can scroll down the left menu to see the Referee section.  At this time, only the Appointments sub-section is being utilized.  All upcoming appointments are listed, followed by the appointment history.  Find the upcoming match to confirm the assignment.  To submit as Send-off report, find the button towards the right of the specific match in the history section.​

The Carolinas Geographic Rugby Union is responsible for administrating  Rugby Union (XV’s and 7’s) in North Carolina, South Carolina and surrounding areas in Tennessee and Georgia.
