Transferring to a New Club

Players are considered 'free agents' between seasons and can register to any Club at the start of a new season.


The existing club and parent organisation will be required to 'approve' or 'deny' the clearance request in the admin portal before the player can re-register online.

When the player re-registers online, conversion discounts will apply to the relevant fees.

  1. Registered Player tries to register with new club but is stopped and needs to submit a clearance request with supporting reason.

  2. Clearance notifications are sent to player, existing and new club, plus parent organization (Union or Conference) admins.

  3. Clearance needs to be approved by club and parent organization in Rugby Xplorer admin portal.

  4. Once a clearance has been approved by both club and parent organization admin, the player receives email detailing the approved clearance.

  5. Player then needs to continue registering online with the new club. This time they will be able to proceed through the registration process.

  6. Conversions will apply where applicable.

 

The player is notified when they submit the clearance process and also of the outcome of the clearance.
The player will remain active at both Clubs, depending on their registration duration. Season registrations will remain active for the full season.

Combined teams and players who are eligible to play with multiple Clubs, will need to follow the process above to have active registrations in both clubs.


For players who are moving permanently, they should be removed from any 'Squads’ at their old club, so they do not appear for selection on a roster.

Transfer requests (note that RX calls them Domestic Clearances and USA Rugby often refers to them as waivers) take time to get through to approval process.  We urge clubs and players to put their transfers in as soon as possible.

While a transfer is pending, the player is NOT able to play with the club in which they are attempting to transfer. Players must be available in the club’s squad list in RX to be eligible to play in matches.

ADMIN APPROVAL

When the player re-registers online, notifications will be sent to the Club Admin and parent organization (Union or Conference Admin). 

  1. Registered Player tries to register with new club but is stopped and needs to submit a clearance request with supporting reason.

  2. Clearance needs to be approved by club and union admins in Rugby Xplorer admin portal.

    1. In the admin portal, go to Members > Registration Clearances

    2. All clearances will appear. Can ‘search’ for a clearance by name, MyRugby ID or status (e.g. pending)

    3. Click on the clearance you wish to action.

    4. Clearance details (submitted by the player) are locked.

    5. Update Status by selecting ‘status’ and enter ‘note’ as required.

    6. Click Update

  3. Once a clearance has been approved by both club and union admins, the player receives email detailing the approved clearance.

  4. The player then needs to continue registering online with the new club. This time they will be able to proceed through the registration process.

Both the Club and Union need to 'approve' the clearance before the player can continue with their second registration. If a clearance is 'denied', the player will be unable to re-register online.
